Job Description
As an Executive Secretary or Executive Administrative
Assistant at ForseMark, you will play a pivotal role in
providing high-level administrative support to our executives. This
position involves managing administrative
tasks, coordinating schedules, and facilitating communication to
ensure the smooth operation of executive offices.

Typical Duties
- Serve as the primary point of contact for executives, managing correspondence,
emails, and phone calls.
- Coordinate and manage executive calendars, including scheduling meetings,
appointments, and travel arrangements.
- Prepare and organize materials for meetings, presentations, and conferences,
ensuring executives are well-prepared.
- Attend meetings, take minutes, and prepare meeting summaries or action
items for distribution.
- Screen and prioritize incoming communications, responding on behalf
of executives when appropriate.
- Conduct research, gather data, and prepare reports or presentations
for executive review.
- Manage and maintain executive files, records, and confidential information
with utmost discretion.
- Assist in the preparation and review of documents, contracts, and
agreements.
- Coordinate logistics for executive events, such as board meetings,
corporate functions, or client visits.
- Collaborate with other administrative staff to ensure efficient workflow
and office operations.
- Anticipate and proactively address the needs of executives, providing
support as required.
- Handle expense reports, invoices, and budget tracking for executive
expenses.
- Arrange and coordinate executive training programs, seminars, or professional
development opportunities.
- Act as a liaison between executives and internal/external stakeholders,
conveying messages and requests.
- Handle sensitive and confidential information with the highest level
of professionalism and integrity.
Experience and Qualifications
- Bachelor's degree in Business Administration, Office Management, or
related field preferred.
- Proven experience as an executive secretary, executive assistant,
or similar role supporting C-level executives.
- Strong organizational and time management skills, with the ability
to prioritize tasks and meet deadlines.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook)
and other office software.
- Excellent communication skills, both written and verbal, for clear
and professional correspondence.
- Discretion and confidentiality in handling sensitive information and
executive matters.
- Detail-oriented approach with a focus on accuracy in document preparation
and data management.
- Ability to work independently and make decisions in a fast-paced,
dynamic environment.
- Strong interpersonal skills to interact effectively with executives,
staff, and external contacts.
- Experience in event planning, travel coordination, and calendar management.
- Knowledge of office procedures, protocols, and best practices in executive
support.
